This role requires Administrative Assistant to be the face of the company. The Administrative Assistant is often the first‐person customers, vendors, job applicants, employees and visitors see; therefore, this position requires the Administrative Assistant to maintain professionalism, both on and off the phone.


  1. Greets customers, vendors, job applicants, employees from other locations and other visitors.
  1. Maintains safe and clear lobby area.
  2. Reads, researches, and routes correspondence by drafting letters and documents; collects and analyzes information to assist with various office administration projects.
  3. Maintains all supply requisition and related purchases; verifies receipt of supply.
  4. Liaise with other agencies, organizations and groups.
  5. Maintains office equipment.
  6. Performs daily assessment of office grounds.
  7. Researches several vendors and contractors for pricing, delivery dates and other terms of sale.
  8. Assists onsite or offsite staff events.
  9. Provides administrative assistance such as typing letters, preparing reports, entering data into spreadsheet and travel arrangements.
  10. Orders office supplies and ensures the kitchen area is stocked
  11. Escorts vendors through the office area and stay with them while they do their maintenance/ repairs
  12. Point of contact for all building management and vendors including accepting and sending Fed Ex/ UPS deliveries and after hour deliveries and maintenance.
  13. Ensures all new hires in the Richmond office are supplied with the proper office supplies as well as access codes for fax, doors, copier as needed.
  14. Back-up contact for the Richmond office door access administration.
  15. Attend to client visits and meetings ensuring meeting area is clean and stocked and order lunch if needed.
  16. Owner of the conference room outlook calendars and bookings.
  17. Responsible for sending monthly meter readings to copier vendor as well as printer maintenance and codes.
  18. Assists new employees with timeclock registration as needed.
  19. Assists departments with special projects as needed.
  20. Serves as an assistant to the executives on site.
  21. Assumes other duties/responsibilities as assigned.


  1. High school diploma or equivalent, required
  2. 2 years’ experience working as office admin or executive assistant
  3. Excellent customer services skills with professional and courteous phone etiquette
  4. Ability to speak clearly and concisely
  5. Basic clerical and administrative skills
  6. Strong organizational skills with the ability to multi‐task
  7. Ability to lift 30 pounds
